Position:                      Admissions Assistant

Part-time:                     2 days per week – 9am-5pm

Accountable to:           Clinic Manager

Reporting to:               Lead Admissions Officer

Salary: Depending on experience

The Admissions Assistant is part of the Admissions team at Smarmore Castle Private Clinic.

  • Be proficient and professional in handling all types of enquiries to Smarmore Castle.
  • Maintain accurate records of all relevant patient enquiry and referral information.
  • Promptly deal with telephone enquiries in a professional manner and support other staff members in dealing with same.
  • Provide assistance to the Admissions Officer/s in the facilitation and arrangements of referral admissions to Smarmore Castle Private Clinic, liaising with all relevant parties.
  • Liaise with finance staff at Smarmore Castle and assist with the correct processing of payments through the finance department.
  • Contact patient’s GP, other treating doctor or healthcare professional for further information as required. Follow up on requested medical information prior to assessment / admission.
  • Be generally familiar with types of funding and admission processes.
  • Provide cover for the admissions staff i.e. annual leave.
  • Liaise with insurance companies regarding confirmation of insurance cover authorisation.
  • Thoroughly process referrals and engage with various personnel and agencies to ensure the necessary paperwork and requirements are complete.
  • Maintain friendly and professional contact with partner agencies and referrers.
  • Provide support to the Admission Team and other clinic teams as directed.
  • Provide support to the senior management to ensure that excellence in patient care is provided.


  • Undertake such other duties as may be deemed necessary from time to time and as directed by your line manager or the Clinic Manager.


  • The Admissions Assistant should have a good working knowledge of GDPR legislation.

Person Specification

  1. Educated to Leaving Certificate.
  2. Computer literate and a good knowledge of MS Office.
  3. Excellent communication skills, both oral and written.
  4. Good organisational skills and an ability to multi-task
  5. A commitment to supporting colleagues within your work environment
  6. Good interpersonal skills
  7. An understanding of addiction would be beneficial.
  8. An ability to work using own initiative.
  9. An ability to work effectively with a multi-disciplinary team environment.
  10. Excellent attention to detail. The ability to create clear, semi-routine letters/emails and simple reports.
  11. Possession of diplomacy and an ability to maintain confidentiality.
  12. A willingness to undertake appropriate training.
  13. A commitment to maintain highest standard of service and care for our patients.
  14. Own transport

Ideally, successful candidates will have a good knowledge of addiction and 12-step recovery. In this role, you’ll play a vital role in helping individuals struggling with addiction take their first step toward recovery. You’ll provide support to potential patients and their families, answer their questions, and guide them through the admissions process. Smarmore Castle is a centre of excellence for the treatment of addictive diseases, located in the Co. Louth within a 45-minute commute to Dublin. Established since 2015 we treat up to 35 patients with the 12 Step model of addiction treatment. We also have clinics and networks in Scotland, London, the Netherlands and Sweden.
